It was recommended to establish the Awards Office at Ain Shams University at the Council for Postgraduate Studies, Research, and Cultural Relations, in its fifth session on March 16, 2021, headed by Prof. Mohamed Ayman Saleh, Vice President for Graduate Studies and Research. |
* | His Excellency the President of the University, Prof. Mahmoud El-Meteini, approved the decision to establish it on April 25, 2021. |
* | The Office of Awards is affiliated with the Graduate Studies and Research Sector at the university. |
* | Choosing Prof. Alaa El-Din Abdel-Halim Mohamed Farag, a professor at the Faculty of Education at the university, as Supervisor of the office. |
* | The Awards Office works in coordination with the General Administration of Scientific Research, the Department of Cultural Relations, and the university's electronic portal. |
* | A headquarters for the awards office has been located in the administration building behind the Zaffran Palace. |
* | The vision, mission, goals, and tasks of the office have been defined. |
* | The Awards Office works in coordination with all concerned departments to establish a database for awards, announce and follow them up, provide technical support for all award applicants, and provide full follow-up and necessary reports on awards and related issues. |
Vision
That the Awards Office at Ain Shams University be a reliable reference and an effective contributor to the participation of faculty members in the field of local, regional and international awards.
Mission
Building an integrated system to follow up on the awards and the participation of faculty staff in them, provide the necessary support, and achieve the future aspirations of the university in the field of awards so that the university can assume an advanced position in this field
Award Office Objectives
- • Building a system to follow up the progress of awards for faculty members at the university, and its application and development continuously.
- • Continuous development of performance indicators for the awards, their employment and follow-up of their use.
- • Introducing various means to reveal strengths and points that need improvement in the field of prizes at the university level.
- • Upgrading the level of expertise and skills of the awards office's members in the field of research and communication.
- • Continuous improvement of work mechanisms and procedures used in following up and developing the awards.
Goals of the Awards Office
The University Awards Office aims to raise the level of nomination for awards for university faculty members by enabling them to participate in local, regional and international awards through the following:
- • Follow-up on the announcement of awards of all kinds, local, regional and international.
- • Classification of local, regional and international awards according to their requirements and categories.
- • Raising awareness of the awards, and introducing each award and its importance.
- • Providing the necessary support to faculty members wishing to run for awards.
- • Providing the necessary support activities for the nominees for the awards through many activities such as workshops, training programs, meetings, and visits.
- • Training on award criteria in cooperation with the competencies, experiences and qualified cadres.
- • Follow-up of the university faculty members nominated for awards.
- • Creating a database of the university's faculty members for the nominations for awards.
Award Office Tasks
- • Determining and activating the main performance indicators for the work of the Awards Office.
- • Continuous development of the progress follow-up system for awards in the office.
- • Preparing periodic reports on the performance of applying for awards at the university, and proposing the necessary improvement measures for this.
- • Providing the necessary support to university faculty members in the field of awards.
- • Continuous advertising of all awards by all available means to facilitate the process of applying for them.
- • Coordination with all faculties to follow up on applicants for awards and to provide the necessary technical support.
The tasks are achieved through the following:
• Follow-up the announcement of awards of all kinds, local, regional and international.
• Categorizing local, regional and international awards according to their requirements and categories.
• Raise awareness of awards, and introduce each award and its importance.
• Provide the necessary support to faculty staff wishing to apply for awards.
• Provide the necessary support activities for the award candidates through many activities such as workshops, training programs, meetings, and visits.
• Training on awards standards in cooperation with competencies, experiences and qualified cadres.
• Follow-up of the university faculty staff nominated for awards.
• Create a database of candidates for awards from the university faculty staff.
Organizational Structure
The most important activities of the Awards Office - Ain Shams University
1- Announcing the awards as soon as they are issued to provide a sufficient period of time for submission.
2- Making an appropriate advertisement to be uploaded to the Awards Office group.
3- Communicate with the e-portal team to create a link for each award.
4- Announcement on the awards page on the university portal, in coordination with the work team from the electronic portal.
5- Make announcements of the awards with distinct frameworks to be distributed to all the colleges concerned with the award.
6- Following up on the announcement of the prizes on the weekly mail of the university faculty members.
7- Communicate with the colleges concerned with the award to motivate them to apply for the awards.
8- Follow up the databases to apply for the prizes in a timely manner before the end of the prize deadline.
9- Re-announce the awards and re-communicate in case of poor progress or participation in the awards.
10- Communicate with those wishing to run for the awards and provide technical support directly through communication or via e-mail to the awards office.
11- Congratulating all award winners upon issuance.
12- Create a database of all awards for presenters, nominees, and award winners.
13- Conducting periodic meetings with the work team from the office, the General Administration of Research and the work team from the electronic portal to be able to discuss all means to improve the quality of performance in the field of awards.
14- Media coverage with the winners after obtaining the approval of the Vice President of the University for Postgraduate Studies and Research, and in coordination with the media center, the university’s electronic portal team, with the aim of clarifying the scientific journey of the winners and the role of Ain Shams University in supporting scientific research to obtain awards and a supportive message to young researchers To compete and obtain distinction and awards at our prestigious university.
